If you register for an event via our website, we only ask for the personal data necessary for the proper fulfilment of our tasks.
Why do we ask for these data?
We need your data to process your application (legal basis processing: performance of agreement). In addition, we can carry out (statistical) research based on these data in order to improve our services (legal basis: legitimate interest) How long do we keep these data? We can use your data for up to 24 months after the event to conduct research. This research is aimed at improving the events we offer to our target audience. After 24 months, we anonymise or delete your data completely.
If you register for an online event, we process your personal data to process your registration. Under the heading "event registration" you can see what personal data we process and why we do so.
During events, photos, videos and/or vlogs may be taken by professional photographers, cameramen, staff or students. We may use these atmospheric images on our social media channels, on our website, in the newsletter or a mailing about the event in question. In addition, we may keep a small and carefully selected part of the footage in an archive as part of historical awareness.
Why do we ask for this data?
We process these images based on our legitimate interest. We have an interest in recording these events through visual material in order to make the event known. It is possible to indicate that you prefer not to be in the picture. You can indicate this during the event.
How long do we keep this data?
In principle, we do not keep images for longer than 24 months after the event. After this, the images are permanently deleted. In exceptional cases, we may keep a small and carefully selected part of the visual material for a longer period, in the context of historical awareness. This footage can then be used for an anniversary, for example.

Marketing platforms we use, such as Facebook, Instagram, Snapchat and LinkedIn, use the IP address to identify you as a user. We only transmit this when you give your consent from the cookie banner.
We use a third-party provider, Hootsuite, to manage our social media interactions.

Why do we ask for this data?
We process this personal data to monitor our image and (online) reputation (legal basis: legitimate interest). How long do we keep this data? Personal data will be deleted from the tool for a maximum of 24 months after collection.
If you are 16 years or older and you have given us permission, VHL also uses your e-mail address for Custom Audience targeting via Facebook. To do this, we encrypt your e-mail address, by hashing it. Hashing is a technique that converts your e-mail address into a unique code, a technique also used to securely verify passwords. We only pass on the hash value to Facebook and not your unencrypted email address. Please note! If you have opted out of targeted Facebook ads via one of the above options, you may still see ads from VHL on Facebook. VHL processes personal data relating to minors in some cases. It is not our intention to specifically collect or process data from minors, but we are aware that some website visitors are minors. If you are a minor, please ensure that your parents have given permission for us to process your data. We cannot always check whether our website visitors are minors.
We therefore advise parents to be involved in their children's online activities, in order to avoid collecting data about children without parental consent.
